{"id":2840,"date":"2026-03-11T10:39:20","date_gmt":"2026-03-11T08:39:20","guid":{"rendered":"https:\/\/hilltophotelisosyote.fi\/?page_id=2840"},"modified":"2026-03-11T10:41:12","modified_gmt":"2026-03-11T08:41:12","slug":"booking-terms-and-conditions","status":"publish","type":"page","link":"https:\/\/hilltophotelisosyote.fi\/en\/booking-terms-and-conditions\/","title":{"rendered":"Booking Terms and Conditions"},"content":{"rendered":"\n<h2 class=\"wp-block-heading\">Lapland Boutique Resorts<\/h2>\n\n\n\n<p><em>(Accommodation, Activities and Packages)<\/em><\/p>\n\n\n\n<p>These booking terms and conditions apply to all reservations made for accommodation, activities, and packages at&nbsp;<strong>Lapland Boutique Resorts<\/strong>, including the following destinations:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Ruka Safaris<\/li>\n\n\n\n<li>Iisakki Village<\/li>\n\n\n\n<li>Hotelli Iso-Sy\u00f6te<\/li>\n\n\n\n<li>Oivanki Resort<\/li>\n<\/ul>\n\n\n\n<p>These properties are collectively referred to as&nbsp;<strong>\u201cLapland Boutique Resorts\u201d<\/strong>&nbsp;or&nbsp;<strong>\u201cthe Resort.\u201d<\/strong><\/p>\n\n\n\n<p>These terms apply to all reservations made through:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the official online booking systems<\/li>\n\n\n\n<li>the Resort\u2019s websites<\/li>\n\n\n\n<li>email or telephone reservations<\/li>\n\n\n\n<li>other direct sales channels operated by Lapland Boutique Resorts.<\/li>\n<\/ul>\n\n\n\n<p>By completing a reservation, the customer confirms that they have read, understood, and accepted these terms and conditions.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">1. Reservation and Confirmation<\/h2>\n\n\n\n<p>Reservations may be made through the Resort\u2019s online booking system, by email, or through the Resort\u2019s sales service.<\/p>\n\n\n\n<p>A reservation becomes&nbsp;<strong>binding once payment has been successfully received and a booking confirmation has been issued<\/strong>.<\/p>\n\n\n\n<p>The booking confirmation contains the essential details of the reservation including:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>accommodation type<\/li>\n\n\n\n<li>travel dates<\/li>\n\n\n\n<li>booked services and activities<\/li>\n\n\n\n<li>total price<\/li>\n\n\n\n<li>applicable payment and cancellation conditions.<\/li>\n<\/ul>\n\n\n\n<p>Customers are responsible for reviewing the booking confirmation and notifying the Resort immediately of any discrepancies.<\/p>\n\n\n\n<p>Lapland Boutique Resorts reserves the right to cancel a reservation if payment obligations are not fulfilled.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">2. Prices<\/h2>\n\n\n\n<p>All prices are stated in&nbsp;<strong>euros (EUR)<\/strong>&nbsp;and include&nbsp;<strong>value added tax (VAT)<\/strong>&nbsp;in accordance with Finnish legislation unless otherwise stated.<\/p>\n\n\n\n<p>Prices may vary depending on:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>travel season<\/li>\n\n\n\n<li>availability<\/li>\n\n\n\n<li>accommodation category<\/li>\n\n\n\n<li>included services and activities.<\/li>\n<\/ul>\n\n\n\n<p>Lapland Boutique Resorts reserves the right to correct pricing errors caused by technical or administrative issues.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">3. Payment Terms<\/h2>\n\n\n\n<p><strong>The total booking amount will be charged after the free cancellation period has expired.<\/strong><\/p>\n\n\n\n<p>The reservation is confirmed once payment has been successfully processed and confirmation has been issued.<\/p>\n\n\n\n<p>If payment cannot be processed, the reservation may be cancelled.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Payment Processing<\/h3>\n\n\n\n<p>Payments are processed via&nbsp;<strong>Mews<\/strong>,&nbsp;<strong>FareHarbor<\/strong>, or&nbsp;<strong>Profitroom<\/strong>, all powered by&nbsp;<strong>Stripe<\/strong>.<\/p>\n\n\n\n<p>Card details are encrypted and processed securely through Stripe\u2019s payment infrastructure. Card details are&nbsp;<strong>not stored by Lapland Boutique Resorts<\/strong>.<\/p>\n\n\n\n<p>Depending on the service booked (accommodation, activities, or packages), the payment may be processed through one of the Resort\u2019s booking platforms.<\/p>\n\n\n\n<p>Any refunds issued according to the applicable cancellation policy will be returned to the&nbsp;<strong>original payment method used for the booking<\/strong>.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">4. Cancellation Policy \u2013 Accommodation<\/h2>\n\n\n\n<p>Cancellation conditions vary depending on accommodation type and travel season.<\/p>\n\n\n\n<p>All cancellations must be submitted&nbsp;<strong>in writing via email or through the booking system<\/strong>.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h3 class=\"wp-block-heading\">Suites at&nbsp;Hilltop Hotel Iso-Sy\u00f6te<\/h3>\n\n\n\n<p><em>(Eagle View Suite, Bear Cave Suite, Phoenix Suite and Naava Suite)<\/em><\/p>\n\n\n\n<p>Flexible&nbsp;<strong>45-day cancellation policy<\/strong>&nbsp;applies.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Free cancellation up to\u00a0<strong>45 days before arrival<\/strong><\/li>\n\n\n\n<li>For cancellations made\u00a0<strong>less than 45 days before arrival<\/strong>, changes, or no-shows,\u00a0<strong>no refund will be provided<\/strong><\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h3 class=\"wp-block-heading\">Rooms, Cottages and Aurora Suites at Hilltop Hotel Iso-Syt\u00f6te<\/h3>\n\n\n\n<h4 class=\"wp-block-heading\">Winter &amp; Spring Season<\/h4>\n\n\n\n<p><em>(1 December \u2013 1 May)<\/em><\/p>\n\n\n\n<p>Flexible&nbsp;<strong>45-day cancellation policy<\/strong>&nbsp;applies.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Free cancellation up to\u00a0<strong>45 days before arrival<\/strong><\/li>\n\n\n\n<li>For cancellations made\u00a0<strong>less than 45 days before arrival<\/strong>, changes, or no-shows,\u00a0<strong>no refund will be provided<\/strong><\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h4 class=\"wp-block-heading\">Summer &amp; Autumn Season<\/h4>\n\n\n\n<p><em>(1 June \u2013 30 November)<\/em><\/p>\n\n\n\n<p>Flexible&nbsp;<strong>2-day cancellation policy<\/strong>&nbsp;applies.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Free cancellation up to\u00a0<strong>2 days before arrival<\/strong><\/li>\n\n\n\n<li>For cancellations made\u00a0<strong>less than 2 days before arrival<\/strong>, changes, or no-shows,\u00a0<strong>no refund will be provided<\/strong><\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">5. Changes to Reservations<\/h2>\n\n\n\n<p>Changes to reservations may be possible depending on availability.<\/p>\n\n\n\n<p>Lapland Boutique Resorts reserves the right to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>charge a modification fee<\/li>\n\n\n\n<li>apply updated pricing based on new dates or services.<\/li>\n<\/ul>\n\n\n\n<p>Substantial changes close to arrival may be treated as cancellation and rebooking.<\/p>\n\n\n\n<p>Name changes may only be accepted with prior written approval.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">6. Activity and Safari Bookings<\/h2>\n\n\n\n<p>Lapland Boutique Resorts offer guided outdoor activities including safaris, nature excursions, and seasonal experiences.<\/p>\n\n\n\n<p>All activities are subject to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>weather conditions<\/li>\n\n\n\n<li>safety considerations<\/li>\n\n\n\n<li>minimum participant numbers.<\/li>\n<\/ul>\n\n\n\n<p>Activities booked in advance must be&nbsp;<strong>paid in full at the time of booking<\/strong>, unless otherwise specified.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">7. Cancellation Policy \u2013 Activities<\/h2>\n\n\n\n<p>Activities may be cancelled&nbsp;<strong>free of charge up to 21 days before arrival<\/strong>.<\/p>\n\n\n\n<p>For cancellations made&nbsp;<strong>less than 21 days before arrival<\/strong>, changes, or no-shows,&nbsp;<strong>no refund will be provided<\/strong>.<\/p>\n\n\n\n<p>If Lapland Boutique Resorts cancels an activity due to safety reasons or operational circumstances, guests will be offered:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>an alternative activity, or<\/li>\n\n\n\n<li>a refund for the cancelled activity.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">8. Weather, Snow and Natural Conditions<\/h2>\n\n\n\n<p>Many activities offered by Lapland Boutique Resorts depend on&nbsp;<strong>natural conditions<\/strong>, including:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>snow cover<\/li>\n\n\n\n<li>ice conditions<\/li>\n\n\n\n<li>weather and temperature.<\/li>\n<\/ul>\n\n\n\n<p>The Resort cannot guarantee specific natural phenomena, including:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>snowfall<\/li>\n\n\n\n<li>frozen lakes<\/li>\n\n\n\n<li>Northern Lights visibility.<\/li>\n<\/ul>\n\n\n\n<p>If natural conditions prevent the safe operation of an activity, Lapland Boutique Resorts reserves the right to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>modify the activity program<\/li>\n\n\n\n<li>replace the activity with an alternative program<\/li>\n\n\n\n<li>adjust schedules or routes.<\/li>\n<\/ul>\n\n\n\n<p>Such changes do not entitle guests to compensation.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">9. Participant Responsibilities and Safety<\/h2>\n\n\n\n<p>Participants must follow the instructions provided by guides and staff.<\/p>\n\n\n\n<p>The Resort reserves the right to refuse participation if a guest:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>appears to be under the influence of alcohol or drugs<\/li>\n\n\n\n<li>behaves in a way that may endanger themselves or others<\/li>\n\n\n\n<li>does not meet safety requirements.<\/li>\n<\/ul>\n\n\n\n<p>Certain activities may have restrictions related to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>age<\/li>\n\n\n\n<li>height or weight<\/li>\n\n\n\n<li>physical condition.<\/li>\n<\/ul>\n\n\n\n<p>Guests are responsible for ensuring they meet the requirements before booking.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">10. Snowmobile Safaris \u2013 Driver Responsibility and Liability<\/h2>\n\n\n\n<p>Participants driving a snowmobile must hold a&nbsp;<strong>valid driver\u2019s license accepted in Finland<\/strong>&nbsp;and must present it upon request.<\/p>\n\n\n\n<p>Drivers must follow all instructions provided by the guide and operate the snowmobile responsibly.<\/p>\n\n\n\n<p>Snowmobiles are insured according to Finnish law. However, the driver is responsible for damages caused by negligence or misuse.<\/p>\n\n\n\n<p>The driver\u2019s&nbsp;<strong>maximum personal liability (self-liability \/ excess)<\/strong>&nbsp;for damage to a snowmobile is&nbsp;<strong>up to \u20ac1,000 per accident<\/strong>, unless otherwise stated in the activity description.<\/p>\n\n\n\n<p>Lapland Boutique Resorts reserves the right to refuse participation if safety requirements are not met.<\/p>\n\n\n\n<p>Children generally travel as passengers in a sled pulled by the guide\u2019s snowmobile unless otherwise specified.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">11. Accommodation Stay<\/h2>\n\n\n\n<p>Unless otherwise specified:<\/p>\n\n\n\n<p>Check-in:&nbsp;<strong>from 16:00<\/strong><br>Check-out:&nbsp;<strong>by 12:00<\/strong><\/p>\n\n\n\n<p>Early check-in and late check-out may be available upon request and may incur additional charges.<\/p>\n\n\n\n<p>Guests may be required to present&nbsp;<strong>valid identification upon arrival<\/strong>.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">12. Guest Conduct and Liability for Damages<\/h2>\n\n\n\n<p>Guests must behave respectfully toward other guests, staff, property, and the surrounding environment.<\/p>\n\n\n\n<p>Lapland Boutique Resorts reserves the right to remove guests behaving inappropriately or causing disturbance without refund.<\/p>\n\n\n\n<p>Guests are financially responsible for any damage caused to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>accommodation units<\/li>\n\n\n\n<li>equipment<\/li>\n\n\n\n<li>vehicles<\/li>\n\n\n\n<li>facilities.<\/li>\n<\/ul>\n\n\n\n<p>Repair or replacement costs may be charged to the guest.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">13. Travel Insurance<\/h2>\n\n\n\n<p>Guests are strongly recommended to obtain&nbsp;<strong>comprehensive travel insurance<\/strong>&nbsp;covering:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>trip cancellations<\/li>\n\n\n\n<li>personal injury<\/li>\n\n\n\n<li>outdoor activity participation<\/li>\n\n\n\n<li>loss of personal belongings.<\/li>\n<\/ul>\n\n\n\n<p>Lapland Boutique Resorts are not responsible for financial losses resulting from cancellations or disruptions beyond the Resort\u2019s control.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">14. Force Majeure<\/h2>\n\n\n\n<p>Lapland Boutique Resorts shall not be held liable for failure or delay in fulfilling obligations due to circumstances beyond its control, including but not limited to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>extreme weather conditions<\/li>\n\n\n\n<li>lack of snow or ice conditions<\/li>\n\n\n\n<li>natural disasters<\/li>\n\n\n\n<li>fires<\/li>\n\n\n\n<li>strikes or labour disputes<\/li>\n\n\n\n<li>epidemics or pandemics<\/li>\n\n\n\n<li>government restrictions<\/li>\n\n\n\n<li>transportation disruptions.<\/li>\n<\/ul>\n\n\n\n<p>In such situations the Resort may modify or cancel services without liability.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">15. Personal Data and Privacy<\/h2>\n\n\n\n<p>Customer personal data is processed in accordance with:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the Resort\u2019s Privacy Policy<\/li>\n\n\n\n<li>applicable\u00a0<strong>European Union data protection legislation (GDPR)<\/strong>.<\/li>\n<\/ul>\n\n\n\n<p>Personal information is used solely for reservation management and service delivery.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">16.
